Tips & Tricks for Planning a Seamless, Stress-Free Event
When you have a game plan in place before you even start planning your event with a venue, the planning process can be easy. If not, it’s okay! We’ve created a list of items to consider as you start detailing your event.
The desired outcome of your event is important to establish from the beginning. What are you trying to achieve at the end of the day?
Planning a business event is vastly different from planning a social event. Establishing your goals from the start will help influence the decisions that you make, including everything from the catering services and audiovisual requirements to the venue and team needed to make your vision a reality.

It's important to understand the difference between the expectations that you as the planner have compared to those of your audience. Let your Emory Conference Center Sales Team member know both sets of expectations so our staff can accomplish both sets of objectives.

Details
There are a few must-have items that you need to know before booking your event and conference space. If you are able to answer most these questions, then you are off to a great start. These answers will also help determining the size of your event space requirements.
- How many guests or attendees are you expecting?
- Will you require guest rooms? If so, how many per evening?
- How would you like the space set up? Theater, classroom, conference, banquet rounds?
- Will you need multiple rooms for breakout sessions?
- What are you envisioning for audiovisual? Will you need screens, projectors, music, and microphones? Will there be a meeting facilitator who requires special equipment?
- Are you planning any entertainment during your event such as a DJ or band?
- Do you wish to host an outdoor event?
- Will any events take place off site of the venue?
- Will you require transportation?
Have you planned this event in the past? Have you attended an event similar to the one you planning? If so, what did you like about the event? What worked well? What didn't?
When you are able to identify aspects of past events you liked (or didn't) like, it helps you plan a successful event now. Your Sales Team member will be able to take these experiences and implement them into your current event.
When should you start planning my event at the Emory Conference Center Hotel?
Although there is no tried and true deadline on when an event should be reserved, it's our recommendation to reserve your space as early as possible. We will always work with you to determine the best event space and number of guest rooms your event will most likely need.
Everything you need for a successful meeting is available to you in our Complete Meeting Package. This package includes overnight accommodations, meeting space, conference dining breakfast, lunch and dinner, continuous refreshment breaks, standard audio-visual package, wireless internet, parking and all applicable service charges.

Conference Meeting Space
Comfortable, contemporary meeting space includes:
- One General Session Room
- One breakout room per 50 attendees
- Ergonomic Conference Chairs (except the Silverbell Pavilion)
- Non-glare conference tables-30 inches in width
- Rooms are set with pad, pen and hard candies
- Wireless high-speed access throughout the meeting and public space
Audio-Visual
One of each of the following items per 50 Attendees, daily:
- One LCD Projector
- One Projection Screen
- One Wired Microphone (may be podium, tabletop or PZM style)
- One Flipchart, Easel with Colored Markers
- One Power Cord/Multi-Outlet Power Strip
A Group of 20 guests or less will receive a 55” Monitor in lieu of the LCD Projector. Audiovisual is enhanced with on-site technical support.
Food & Beverage
Lavish Buffet meals served in The Dining Room:
- Breakfast (7:00am-11:00am)
- Lunch (11:30am-2:00pm)
- Dinner (6:00pm-9:00pm)
- Package begins with dinner on the night of arrival
- Refreshment break stations (7:00 AM to 5:00 PM)
- Continental breakfast featuring a hot breakfast item
- Continuously replenished fresh fruit, snacks, healthy and indulgent treats
- Coffees, teas, soft drinks, and bottled waters
- Chef’s specialty treat served during mid-afternoon break
- Break stations located throughout the conference center.

For guests not requiring overnight accommodations, we offer a Day Meeting Package. This package includes meeting space, conference dining lunch, continuous refreshment breaks, a standard audio-visual package, wireless internet, parking and all applicable service charges.

- Half Day: 7am-12pm or 12pm-5pm

Ceremony Packages do not include a Minister/Officiant or Wedding Coordinator.

Emory Conference Center Hotel offers convenient self-parking at hourly rates. Our overnight parking fee is $15.

Public Transportation
MARTA serves the Emory Conference Center Hotel. From Hartsfield International Airport take MARTA to the Lindbergh Station. From Lindbergh take the #6 bus directly to the hotel. Visit MARTA. Emory Cliff Busses serve the University Monday through Friday from 5:30 AM until 7 PM. This transportation is complimentary.
